The problem with manually checking LinkedIn for replies

Without automated syncing, tracking outreach progress means logging into LinkedIn repeatedly throughout the day — checking which connection requests were accepted, scrolling through the messaging inbox for new replies, and manually updating a spreadsheet or CRM to reflect what changed. It’s tedious, it’s easy to miss something, and it doesn’t scale past a handful of active conversations. HootDM replaces that manual loop with an automatic sync that keeps your lead list accurate without you touching LinkedIn directly.

How connection & reply sync works

Roughly every few hours, HootDM checks two things in a single pass: your full LinkedIn connections list, and your active conversations. Every lead with a pending connection request gets reconciled against the current connections list — if they’ve accepted, their status updates to Connected and a message task gets queued automatically. Every lead you’ve messaged gets checked for a reply in the same pass; a reply moves the lead straight to Won.

This runs once per user, not once per campaign, so if you have leads waiting across multiple lists, they’re all reconciled together rather than triggering separate checks that could get out of sync with each other.

What synced data unlocks

Because connection and reply status update automatically, the rest of the product can rely on them being current: campaign sequences know exactly when to send the next message, the analytics dashboard reflects real numbers instead of a stale snapshot, and you always have an accurate answer to “who’s actually replied” without opening LinkedIn to double-check.
