Why personalization still matters when outreach is automated
Automation and personalization are usually treated as opposites — the more you automate, the more generic the message gets. Identical opening lines sent to hundreds of people are easy to spot from the receiving end, and they tend to produce lower acceptance rates and more spam reports, which in turn hurts account health. HootDM’s template system is built specifically to keep messages feeling individually written even as the sending itself is fully automated.
Building a template library
Templates cover every message-based step in a sequence: the initial message after acceptance and up to three follow-ups. Each template supports dynamic variables — {{firstName}}, {{lastName}}, and {{headline}}, pulled from the lead’s profile data — so a single template still reads as personal to each recipient without being rewritten by hand every time.
Templates aren’t tied to a single campaign. Write a message or follow-up once, and reuse it across every campaign that needs it, updating the wording in one place rather than maintaining copies scattered across different sequences.
Message variants and how rotation works (Pro)
On the Pro plan, any step can have more than one template attached. Instead of picking a single fixed message, HootDM randomly selects one of the available variants each time that step runs for a new lead. In practice, this means two prospects being contacted in the same campaign, on the same day, are unlikely to receive an identical opening line — which both improves how personalized outreach feels to the recipient and makes activity harder to fingerprint as automated.
Common questions
How many variants can I add per step?
As many as you’d like on the Pro plan — most campaigns use 2–4 variants per step, enough variety without the overhead of maintaining dozens of near-identical messages.
What variables are available?
First name, last name, and headline, pulled from the lead’s LinkedIn profile.
Can I add a note to my connection request?
Not currently — connection requests are sent without a note. Templates apply to the initial message and follow-ups, sent after the request is accepted.
